At McColl Associates, we are committed to maintaining the trust and confidence of our clients and visitors to our website and ensuring that we comply with the GDPR legislation which came in to force on 25 May 2018. Here you’ll find information on how we treat data that we collect from our clients and also from visitors to our website.

Client Records on File

All client data and records kept on paper file, are held securely on site at our premises at McColl Associates, 1 Meadowbank Place, Edinburgh, EH8 7AW. These records are safeguarded and maintained by McColl Associates and cannot be accessed by any third parties. We are required to hold and store project data for twelve years and after this period paper copies are treated as confidential waste and securely removed and shredded off site by a third party provider, Shred-It Limited.

Your Personal Data

McColl Associates only collect basic personal data about you which does not include any special types of information. It does however include name, address, email address and contact telephone number. We store this information on our client database which is held securely on our servers and we use a third party, Eurobusiness Limited, to ensure that the data held on our servers is kept safe. All the data we process is processed within the UK however for purposes of IT hosting and maintenance this information may be located on servers within the European Union.

We need to know your basic personal data in order to provide our services to you. We will not collect any personal data from you that we do not need in order to provide and oversee this service. We do not use your data for marketing purposes and we will never sell your data. Our credit control is provided by Ledger Control Limited who may contact you by email, telephone or letter on our behalf. We have data protection rules in place with all our third party providers to oversee the effective and secure processing of your personal data.

You can request at any time to see what information we hold, and to have it amended or deleted. Please email your request for the attention of Jim Dickson, our data protection officer at email@mccollassoc.co.uk If you wish to contact us with a complaint about how we have handled your personal data, you can contact us as above and we will investigate the matter. If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law you can make a complaint to the Information Commissioner’s Office (ICO).

Visitors to our Website

When someone visits http://www.mccollassoc.co.uk/ we use a third party service, Hibu (UK) Ltd, to host our site and collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Hibu to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it. If you choose to complete the contact form on our website we will receive an email enquiry with your details enabling us to respond. As we host our website through a third party, Hibu have their own Privacy and Cookie Policies which can be viewed in full from our website.

Links to Other Web Sites

This privacy policy does not cover the links within our website linking to other websites. Those sites are not governed by this Privacy Policy, and if you have questions about how a site uses your information, you’ll need to check that site’s privacy statement.

People who contact us via social media

We use a third party provider, Facebook to promote our social media interactions.

If you send us a private message via social media the message will not be shared with any other organisations. For more information, please see Facebook’s privacy notice.

Access to Your Personal Information
